Manage departments and delegated publishing

Create tenant departments, add local or SSO staff, and control who may publish using a department byline.

Create and maintain a department

  1. Open Departments under Tenant settings and select New department.
  2. Enter the name staff should see on article bylines and an optional description.
  3. Search active tenant accounts by name or email to add members. Local and SSO accounts appear together.
  4. Edit the name or description at any time. Existing articles display the current department name.
  5. Archive a department when it is no longer used. Archiving removes it from new byline choices but preserves it on existing articles.

Import members from CSV

  1. Choose Download CSV template on the Departments page.
  2. Keep the email header and add one work email address per row in the first column.
  3. Save the file as CSV, select Import CSV for the intended department, and upload it.
  4. Review the result message. It identifies how many active tenant accounts matched and lists a sample of addresses that were not found.

Delegate department publishing safely

Membership and publishing are intentionally separate. New members cannot publish for the department by default.

  • Use May publish beside an individual member to delegate only to that person.
  • Use Allow every member to publish only when department membership itself should imply publishing authority. This setting is off by default.
  • A person must also have the tenant permission to publish news. Department delegation does not grant general content-editor access by itself.
  • Use the separate Publish as any person or department permission only for trusted communications administrators who need organization-wide impersonation-like byline control.
